What E-signatures is for
E-signatures let you send a finalized board or shareholder resolution to its signers from the meeting it belongs to. Each signer signs from a secure personal link, and every view and signature is recorded in a tamper-evident audit trail.

No chasing paper around the board
Directors sign from a link in their email, on any device, without creating an account — one at a time or all at once.
Proof of who signed, and when
Every view, signature and decline is logged with the time and IP address, and the executed PDF carries a signature page and an audit page.
Signed resolutions where they belong
Once the last signer signs, the resolution turns Complete and the signed copy is filed in the entity's minute book.
How to use E-signatures
Each step shows the real screen. Hover a numbered marker — or the matching note — to see what every control does.
Open a finalized resolution
Go to Meetings, open the meeting and choose the Resolutions tab. Open the resolution — once it is finalized, Send for signature appears at the top of the document.
- Still a draft? Review it and choose Confirm and Finalize first.
- Finalized text is locked; to change it, delete the resolution and draft it again.
- You need edit access to the meeting's resolutions to send them.

Choose the signers and the order
Tick the meeting participants who should sign — directors and shareholders are ticked for you — and add anyone else by name and email. Then choose One at a time or All at once.
- Up to 50 signers. Remove anyone with the trash icon.
- Links expire in 12 days. Send reminders emails a daily reminder to anyone who hasn't signed.
- Each signer gets an email with a Review & sign button when it's their turn.

Tip: With One at a time, later signers who open their email early see “Waiting on an earlier signer” until it's their turn.
Signers review and sign
Each signer opens the link in their email. They read the resolution, draw, type or upload a signature, agree to sign electronically and choose Sign & submit.
- No LinkinLegal account is needed.
- Before the first signature, a signer can choose Edit document to change the text.
- Decline to sign records the decline, with an optional reason, and notifies you.

Tip: A typed signature shows in a script font on screen; the signed PDF prints the typed name in an italic serif.
Track progress on the resolution
Open the resolution to follow the request. The Signature request card shows each signer's status, and the audit trail lists every step with its time and IP address.
- The page refreshes every 15 seconds; Refresh signatures checks right away.
- The meeting's Overview shows how many signatures are in.
- To withdraw a request, delete the resolution — pending signers can no longer sign.

Download the signed copy
After the last signature the resolution turns Complete. Signed copy shows the executed PDF, Resolution text shows the plain text, and Download signed PDF saves the executed copy.
- The executed resolution is filed in the entity's minute book.

The signed copy adds a signature page and an audit page, and is filed in the minute book.
Decline with a reason
Signers can decline and say why. You're notified, and the resolution can be sent again.
Signers from the meeting
Directors and shareholders are pre-selected from the meeting's participants; add anyone else by name and email.
Tips for getting it right
Finalize the wording first
Only draft resolutions can be edited. After a decline or expiry you can send again, but to change the text you delete the resolution and draft it anew.
Reminders are automatic
There's no Remind button. Leave Send reminders on and signers who haven't signed get a daily email.
Withdraw by deleting
Deleting a resolution that's out for signature cancels its request; signers then see that it was withdrawn.
Save edits before signing
While Edit document is open, Sign & submit is disabled. Signers save or cancel their changes first.
Keep uploaded signatures small
Use a small PNG or JPEG for an uploaded signature — large images can fail to submit.
Statuses you'll see
Work that runs in the background always shows where it stands — here is what each label means.
- SentThe signer has their link but hasn't opened it yet.
- ViewedThe signer opened the resolution and hasn't signed yet.
- SignedThe signer's signature is recorded, with the time and IP address.
- DeclinedA signer declined. The resolution returns to Finalized so you can send it again.
- Expired12 days passed before everyone signed. The resolution returns to Finalized.
- CompleteEveryone signed. The signed PDF is ready and filed in the minute book.
No. Each signer receives an email with a Review & sign button that opens a secure personal link. They can read, sign or decline from there.
No. E-signatures in LinkinLegal are for meeting resolutions: you send a finalized resolution from Meetings → the meeting → Resolutions.
